Here's something nobody tells you when you start using Claude for your marketing work: the way you name your files matters more than you think.
Not in a “keep your desktop tidy” kind of way. In a “Claude literally uses your file name to decide how to help you” kind of way.
When you upload a file to Claude, the file name is often the first — and sometimes only — thing it reads before figuring out what to do. A vague name means Claude has to guess. A clear name means Claude can work faster, pull the right context, and give you better output from the jump.
The Convention
I use a simple three-part formula for every file I upload:
brand_YYYY-MM-DD_description.ext
That's it. Three parts, separated by underscores, all lowercase.
Brand is which client or project the file belongs to. Date is when the data was pulled or the file was created, written in year-month-day format. Description is what's actually inside the file, with hyphens between words.
So if I have a Screaming Frog export of H1 tags for XSculpt that I pulled today, it looks like this:
xsculpt_2026-05-27_screaming-frog-h1-tags.csv
Not report.csv. Not xsculpt stuff.xlsx. Not SEO audit final FINAL v2.pdf.

Why This Works for Claude
Brand first means Claude can instantly filter by client. When I say “pull up the latest XSculpt report” in a conversation, Claude scans file names and knows which ones belong to that brand. No confusion, no mixing up client data.
Date in YYYY-MM-DD format keeps files in chronological order and tells Claude how recent the data is. This matters when you're asking Claude to spot trends or compare time periods. If two files have the same description but different dates, Claude knows which one is current.
A specific description is where the real payoff is. “Report” tells Claude nothing. “Screaming-frog-h1-tags” tells Claude exactly what data it's working with — the tool it came from, the data type, and what to expect inside. All from the file name alone.
Lowercase with hyphens avoids mismatches. If you capitalize inconsistently — “XSculpt” in one file, “xsculpt” in another — Claude might not connect them as the same brand.
The Rules I Follow
No spaces in file names. Use hyphens for multi-word descriptions. Spaces cause problems in file paths and make names harder for Claude to parse.
Pick one abbreviation per brand and stick with it. I use xsculpt, femsculpt, chicagobreast, and chicagoaesthetics across every single file. No variations.
Always lead with brand, then date, then description. The order matters. Brand first because that's how you'll reference files in conversation. Date second because it sorts chronologically. Description last because it's the variable part.
Be specific. “Screaming-frog-h1-tags” beats “seo-report” every time. The more specific the description, the less guesswork Claude has to do.
Use the pull date, not the upload date. If you pulled a report on Monday but uploaded it on Wednesday, use Monday's date. The data's age is what matters, not when you got around to using it.
How to Save This to Claude's Memory
You don't have to explain this convention every time you start a new chat. Claude has a memory feature that lets you save preferences it remembers across conversations.
Open any Claude chat and type something like: “Remember that I use this file naming convention for all client exports: brand_YYYY-MM-DD_description.ext — all lowercase, hyphens between words, no spaces.”
Claude saves it. Done. From that point on, whenever you ask Claude to help you name a file, organize exports, or reference your documents, it follows the convention automatically.

This isn't about being a neat freak with your files. It's about setting up a system where Claude can do its best work for you from the moment you upload something. A clear file name is the difference between Claude asking you what's in the file and Claude already knowing.
